Event Structure

Initiation

As Organiser of the event this phase is the responsibility of the client, with discussion with QMJeff where necessary.


Date / Time

At what time and date do you wish the event to take place? This obviously needs to be agreed with QMJeff.

Event Type

Is the event to be conducted at a venue, or remotely, via Zoom?

If it is venue-based, would you like to include food and/or a raffle? Both can increase both the attractiveness of the event and the price you can reasonably charge.

For Zoom quizzes it is strongly recommended that the Organiser have a Zoom licence which enables conference calls to run uninterrupted for the whole event, rather than rely of the free ’40-minute limit’ version which would involve splitting the event into, say, half-hour segments, and re-establishing contact before each new segment.

Pricing

How much do you wish to charge for the event, bearing in mind the prospective audience and the package being offered?

Advertising

Letting your audience know of the event in advance, whether they are already supporters or are being tempted to support by the quiz.


Preparation

Preparation is the key to a successful event and should not be dismissed lightly. It is a joint venture between the Organiser and QMJeff.


Preview / Dry Run

For a venue-based quiz, this might entail a visit to the venue, to establish accessibility, size, table layout, provision of power sockets and suchlike.

For Zoom, it is recommended that the Organiser arranges a Scorer as this is easier to control from the Zoom Session creator’s position. It is worth arranging a Zoom Conference Call between QMJeff and those with official roles at the event in order to gain operating experience and thus show a degree of professionalism at the event itself (and iron out any problems beforehand).

The organisation of the event itself.

Welcome

A chance to promote the charity, and to establish to ‘rules’ of the quiz.

The Quiz

Typically, six rounds of ten questions, with a break in the middle for convenience.

Results

Announcement of the quiz winners, etc.

Farewells

Thanks for participating, and what it means to the charity.
